How to Prove Business Revenue Without Double Counting Deposits

Business deposits are not always sales. Reconcile customer receipts, internal transfers, owner contributions and borrowing so the application reflects the business’s actual activity.

The key decision

Business deposits are not always sales. Reconcile customer receipts, internal transfers, owner contributions and borrowing so the application reflects the business’s actual activity.

What to consider before choosing

Compare bank statements with accounting records, invoices and processor settlements. Explain differences caused by refunds, fees, settlement delays and taxes. Do not annualize a one-off event as recurring revenue. Where the business uses multiple payment channels, build a reconciliation that follows the money without counting it twice.

Your preparation checklist

  • Identify transfers and financing deposits separately.
  • Match major customer receipts to supporting records.
  • Explain processor deductions and timing differences.

Keep the application controlled and consistent

Maintain one verified version of the company details, ownership, funding purpose and financial information. Ask who will receive the application and whether the service is a direct provider, broker or referral marketplace. Review consent language and understand any borrower-paid charges before submitting.

A preliminary response is not the same as a final approval, and a signed document is not evidence that all settlement conditions are complete. Track the remaining requirements and keep a fallback plan for a delay. Never change, conceal or manufacture financial records to obtain a different decision.

Hypothetical planning example

Put the decision into numbers

Illustration: a processor records 30,000 of sales but settles 28,800 after fees and refunds. Showing both figures without explanation can confuse revenue with collected cash.

This is an illustration, not a customer case, provider quote, approval or market benchmark. Unless a currency is stated, use one consistent currency throughout your own calculation.

What to watch

Never classify borrowed funds or owner injections as operating sales.
