The key decision
A purchase order can support a funding discussion, but it is not cash and may contain cancellation, acceptance or timing conditions. Understand the full delivery-to-collection cycle before borrowing.
What to consider before choosing
Prepare the signed order, supplier quote, gross margin and delivery schedule. Identify deposits, shipping costs, acceptance requirements and customer payment terms. A business loan and specialist purchase-order finance are different structures; verify what is actually proposed. Test a delay at each stage and make sure the financing does not mature before collection.
Your preparation checklist
- Review cancellation and acceptance conditions.
- Budget all costs needed to fulfill the order.
- Identify who pays and when cash should settle.
Translate the plan into a weekly cash forecast
Start with cash that is genuinely available. Add expected customer collections and subtract suppliers, payroll, premises, tax reserves and existing financing. Insert the proposed payment dates and identify the lowest balance. Separate sales growth from cash collection: an invoice is not money available to make a payment today.
Test both weaker sales and a delay in a major receipt. These are different risks and can require different solutions. Consider a smaller staged project, customer deposits or revised supplier terms alongside borrowing. Keep enough operating cash to deliver the work that is supposed to repay the facility.
Hypothetical planning example
Put the decision into numbers
Illustration: a 100,000 order with a 70,000 supply cost still requires cash for logistics and operations. A delayed customer acceptance can extend the period before the expected margin becomes cash.
This is an illustration, not a customer case, provider quote, approval or market benchmark. Unless a currency is stated, use one consistent currency throughout your own calculation.
